1. Scope and who we are
This Privacy Policy applies to personal information collected through concept254.com and the Concept254 enquiry, market-lead and quotation experiences. Concept254 is operated by Luchar Concept Two Five Four Media Limited ("Concept254", "we", "us" or "our").
We serve clients and prospective clients across Kenya, South Africa and the United Kingdom. Depending on your location and the circumstances, applicable privacy laws may include Kenya's Data Protection Act, 2019, South Africa's Protection of Personal Information Act, 2013 (POPIA), and the UK GDPR together with the UK Data Protection Act 2018.
2. Information we collect
We collect information you choose to provide when you contact us, request a quote or submit a market enquiry. This can include:
- your name, email address, telephone or WhatsApp number and preferred contact method;
- company, job title, industry, company size, country and market;
- project requirements, service selections, budget range, timelines, goals, references and other brief information;
- files you intentionally upload to a quotation request, such as documents, images, spreadsheets or PDFs;
- your consent choices, including whether you choose to receive occasional Concept254 updates; and
- technical request information generated when the site is used, such as server logs, request timestamps and basic device or network information processed by our hosting and security providers.
3. How we use personal information
We use personal information to:
- receive, review and respond to enquiries and quotation requests;
- prepare estimates, proposals, project scopes and follow-up communications;
- contact you using the method you select;
- deliver requested services and administer an eventual client relationship;
- protect the website, prevent misuse, diagnose errors and maintain reliability;
- keep appropriate business and correspondence records; and
- send occasional marketing or studio updates only where you have opted in or where otherwise permitted by applicable law.
We do not sell personal information.
4. Legal bases for processing
Where a law requires us to identify a legal basis, we process information as appropriate to take steps at your request before entering a contract, perform a contract, comply with legal obligations, pursue legitimate business interests such as responding to enquiries and securing our systems, or act on your consent. Where we rely on consent, you may withdraw it for future processing at any time.
6. International transfers
Concept254 serves multiple markets and uses cloud providers that may process information in countries different from the one in which you live. Where cross-border safeguards are required, we take reasonable steps to use contractual, organisational or other lawful transfer mechanisms appropriate to the applicable privacy regime.
7. How long we keep information
We keep enquiry, quotation and project information only for as long as reasonably necessary for the purpose for which it was collected, including follow-up, project delivery, record keeping, dispute management, security and legal or accounting obligations. Retention periods can therefore differ depending on whether an enquiry becomes an active client engagement. When information is no longer required, we take reasonable steps to delete, anonymise or securely dispose of it.
8. Security
We use reasonable technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse or alteration. No internet service or method of electronic storage can be guaranteed to be completely secure, so we cannot promise absolute security.
9. Your privacy rights
Depending on the law that applies to you, you may have rights to request access to personal information, ask that inaccurate information be corrected, request deletion or restriction, object to certain processing, withdraw consent, or request portability of information. You may also have the right to complain to the relevant privacy or data-protection regulator in your country.
To exercise a privacy right, email hello@concept254.com. We may need to verify your identity before fulfilling a request. We will respond in accordance with applicable law.

Concept254's website and professional services are directed to businesses, founders and professionals, not children. We do not knowingly solicit personal information from children through our enquiry or quotation forms.
